How the connection works

1

Connect your Microsoft account

In Calio, go to Integrations and click "Connect Microsoft calendar". You sign in with your Microsoft 365 or Outlook account and grant permission once.

2

Your availability keeps itself right

Calio checks your free/busy times through Microsoft Graph every 5 minutes. Events in your Outlook calendar automatically block those slots.

3

Bookings land in your calendar

When a guest books, the appointment appears in your Outlook calendar immediately. If they cancel or reschedule, your calendar is updated automatically.

Why connect it?

Works with your existing Microsoft setup

Suitable for both business Microsoft 365 accounts and personal Outlook accounts — no plugins or add-ins.

Never double-booked

Teams meetings, internal appointments and personal blocks in Outlook block your booking link automatically.

A Teams link, automatically

Set an event type to Microsoft Teams and Calio creates a dedicated Teams meeting through your calendar for every booking. The join link appears in the confirmation email, the reminder and on your guest’s appointment page.

Privacy by design

Calio does not read the contents of your events and runs entirely on European infrastructure.

Frequently asked questions

What does Calio see of my calendar?

Only when you are busy (free/busy times), never the title, attendees or contents of your events. Connection tokens are stored encrypted (AES-256-GCM) and you can disconnect at any time. We never share your calendar data with third parties.

How fast is the sync?

Your availability is refreshed against your calendar every 5 minutes. New bookings are written to your calendar immediately, and removed or moved straight away when a guest cancels or reschedules.

Does this work with my organisation’s business Microsoft 365 account?

Yes. Depending on your organisation’s settings, an administrator may need to approve the connection once (admin consent) — you will see "Approval required" when signing in. calio.nl/en/microsoft-approval lists exactly which permissions Calio asks for and lets your admin approve Calio for the whole organisation in one click. After that, everyone connects without that screen.
