Terms of Service

1. Definitions
- Calio: the online appointment scheduler offered via calio.nl.
- Customer: the natural or legal person holding a Calio account.
- Guest: the person who books an appointment via a customer's booking page.
- Service: all functionality Calio offers via calio.nl.
2. Applicability
These terms apply to every use of the service. By creating an account you agree to them. Deviations are only valid if agreed in writing.
3. Account and use
- You are responsible for the accuracy of your account details and for keeping your password confidential.
- You do not use the service for unlawful purposes, spam, or collecting guest data beyond the purpose of appointment scheduling.
- Calio may warn, restrict or close accounts that abuse the service.
4. Subscriptions, pricing and payment
- The free plan stays free. Paid plans are invoiced in advance per month or per year at the prices on the pricing page.
- Price changes are announced at least 30 days in advance and only take effect from your next billing period.
- You can cancel monthly subscriptions at any time; you keep access until the end of the paid period.
5. Availability and maintenance
We aim for the highest possible availability but do not guarantee uninterrupted operation. Planned maintenance is announced in advance where possible. Integrations with third-party services (such as Google Calendar and Microsoft 365) depend on the availability of those services.
6. Support and response times
Report questions and issues by email at support@calio.nl, or use the “Help” button in the app, which fills in your organisation and plan so we can place your question straight away.
We commit to a first substantive reply within the time that comes with your plan, counted in business hours (Mon–Fri 9:00–17:00, Europe/Amsterdam). A report that arrives outside those hours starts counting on the next business day.
- Business: within 4 business hours (priority support).
- Pro and Team: within 1 business day.
- Free: no committed response time; we help where we can.
This is a commitment to respond, not to resolve: how long a fix takes depends on the problem, and sometimes on a third party such as Google or Microsoft. Support covers the use of the service. Questions outside that scope — advice on your own setup, custom work, or problems in someone else's software — we pick up as far as is reasonable, without a deadline.
7. Payments and no-shows
A customer can set a price or a deposit on an appointment type. That payment runs through Mollie and lands directly in that customer's account — Calio is not a party to the payment and does not hold the money. The customer is responsible for their own prices, VAT and invoicing.
A customer can also set a no-show fee: an amount charged when a guest does not show up and did not cancel. That amount is shown on the booking page and in the confirmation email; a guest agrees to it when booking. Calio never charges automatically — the customer sends a payment request, and the guest pays via a link.
Disputes about an appointment, a price or a no-show fee are between the customer and their guest. Calio does not mediate and does not refund; the customer can refund a payment from their own Mollie account.
8. Data and privacy
How we handle personal data is described in our privacy policy. The customer remains the owner of their own data and the guest data collected via the booking page; Calio processes it solely to provide the service. When an account is terminated, the data is deleted within 30 days.
9. Intellectual property
All rights to Calio's software, brand and website belong to Calio. You receive a non-exclusive, non-transferable right of use for the duration of your subscription.
10. Liability
- Calio is not liable for indirect damages, such as missed appointments, lost revenue or consequential damages.
- Calio's total liability is limited to the amount you paid to Calio in the twelve months preceding the damage.
- These limitations do not apply in the case of intent or deliberate recklessness by Calio.
11. Termination
You can delete your account at any time. Calio may terminate the agreement in the event of a material breach of these terms, after a warning with a reasonable period to remedy the breach.
12. Changes
We may change these terms. Significant changes are announced by email at least 30 days in advance. If you do not agree, you can cancel your account before the effective date.
13. Governing law
These terms are governed by Dutch law. Disputes are submitted to the competent court in the Netherlands.
