Approving Calio for your Microsoft 365 organisation
Is an employee seeing an “Approval required” screen when connecting their calendar? That is not down to Calio or to the employee: your Microsoft tenant is configured so that users may not approve calendar access themselves. An administrator approves Calio once, and after that everyone can connect without this screen.
What Calio asks for, and why

“Full access to user calendars” sounds broader than what Calio does. Microsoft has no separate permission for “only see free/busy and add your own events”; to be able to write a booking into a calendar, this is the narrowest permission that exists. When reading, Calio only requests the start, the end and the busy status — no titles, attendees or contents of events. Calio only writes appointments booked through Calio and never touches existing events. See the privacy policy and the data processing agreement.

You sign in with your Microsoft administrator account and see exactly the list above. One click, and it applies to the whole organisation. This does not connect any calendar and does not release any data: every employee still connects their own calendar afterwards, and can disconnect it again themselves.

Prefer to do it manually? In the Microsoft Entra admin centre go to Enterprise applications → Calio and grant admin consent there. The application ID is 5165b90f-d90d-474e-9134-4eed504d365a (publisher: Omegaform, domain calio.nl).
Want a broader fix: under Enterprise applications → Consent and permissions you can add Calendars.ReadWrite to the permissions users may approve themselves. That applies to every app, so approving per app is the narrower choice.

I would like to connect my Outlook calendar to Calio, our scheduling tool. Microsoft first asks for approval from an administrator. At https://calio.nl/en/microsoft-approval you can see which permissions those are (reading the calendar and adding appointments), what they are used for, and there is a button to approve it for our organisation in one click. No calendar is read until an employee connects one themselves.
